Position: Executive Assistant
Department: Louis Bull Tribal Administration
Position Summary:
The Executive Assistant will report to the Administrator. The Executive Assistant is responsible for the coordination of the office by ensuring effective procedural methods are developed and maintained.
Duties and Responsibilities
Phone reception for Louis Bull Tribal Administration.
Maintain messages and reception records.
Set up meetings and maintain Calendar.
Minute taking and/or Recording for Meetings.
Provide support and back up to other areas within the office as required.
Perform a variety of administrative duties.
Responsible for meeting logistics including;
® booking rooms.
® preparing all financial requirements of meetings.
® prepare agendas.
® ensure the Administrator have submitted reports.
Process department payroll in an efficient manner.
Understands and adheres to all department policies and procedures.
Will perform administrative support to the Administrator in accomplishing their roles and responsibilities. This includes:
Assists in the development and distribution of staff schedules.
Produce forms, schedules, and correspondence as required.
Completes confidential administrative services for the Administrator.
Produces and/ or assists in the production of all required internal and external reports, regularly review progress on standard department deliverables and takes appropriate action to ensure timely completion of all department tasks.
Supports the Administrator in addressing any personnel matters within the department, verifies and records department staff compliance with the departments administrative and financial policies and procedures, including travel expense claims and staff attendance reports.
Prepare financial, expenditures and payment authorization forms, and administrative documents for authorization by the Administrator, such as cheque requisitions, purchase orders, etc.
Knowledge and Abilities:
Minimum Grade 12 Diploma or equivalent.
Experience in the Administration/Clerical field would be a definite asset, advanced computer skills and use of MS Office, Excel, and Adobe.
Excellent oral and written communication, strong active listening, planning, prioritizing, organizing and coordination skills; interpersonal skills with the ability to establish and maintain successful and effective relationships with a variety of internal and external contacts.
Ability to speak/and or understand the Cree language is a requirement.
